1. For whom

The LOT schools are primarily meant for graduate students. This means that the schools are open to PhD students affiliated with one of the LOT institutes or other research institutes in the world.

Research master students (RM) affiliated with one of the LOT institutes or the LOT partner institutes Leuven and Gent are welcome to participate.

Classes in the general program are open to PhD students and to RM students with two semesters of RM training (=RM2 students).

The Research Discussion Groups (see below) are open for PhD students only.

2. Registration

Registration will close on December 3 (23.59 Dutch time). For changes regarding your registration, including your courses, please fill out another registration form! This is possible until December 3.

3. Research Discussion Groups (for PhD students exclusively)

PhD students can register for a Research Discussion Group (RDG) in addition to the LOT courses. The main focus of a RDG is on the participants’ current research projects. The goal is to provide them with feedback to enhance their research and to prepare the work for publication. A maximum of 12 PhD students will be accepted for each RDG.

The RDGs consist of presentations and discussions provided by the participants and regulated by the lecturer. Participants are asked to give a presentation on their own research: research ideas/questions, methodology, results (if obtained yet) and progress. Please note that it is not necessary that your research is in an advanced stage. You are very welcome to just discuss your research ideas/questions, ideas for experiments, specific problems et cetera.

Registering for a RDG requires participants to submit an abstract. This abstract should contain (at least) the topic of your research, your method and the questions you would like to address during the RDG.

The lecturer will select the participants on the basis of their abstract. In addition to the quality of the abstract, the most important criterion will be whether the topic of the participants’ presentation corresponds to the research interests of the lecturer.

After registration has closed and you have been accepted into the RDG, the lecturer or LOT-coordinator will contact you about your participation.

4. Poster presentation

Please consider the possibility to practice your conference skills by giving a poster presentation in week 1 or week 2. You can send in your abstract to the local LOT organization until December 22nd 2017. Use this opportunity to practice presenting your research! Either make a new poster or recycle one of your conference posters and let your fellow LOT-students know what you're working on. This is a great opportunity to gain insight and receive feedback on your methodology, theory and results (if you're there yet), as well as to find collaborators for your research!

5. Costs

Admission is free (but see below for accommodation!) for those PhD students and research master students (RM) who are officially affiliated with one of the nine institutes that participate in LOT. Please check with your own institute first before signing up for the LOT school to verify whether your LOT school fees have been paid or not. PhD-students affiliated with a LOT-institute need to be registered as LOT-member on the LOTwebsite. So, when you are a PhD-student, please check whether your name appears in the list. If it does not, please register.

Non-LOT PhD students and postdoc researchers must pay a tuition fee of 200 euros for one week or 350 euros for two weeks (accommodation not included, see below). Non-LOT RM-students (except from RM students of the LOT partner institutes Leuven and Gent) cannot enroll in the school.

6. Lodging

In contrast with earlier LOT schools, LOT will not provide lodging for Dutch students during the school. The local organisation will provide limited crash space for RM/PhD-students affiliated with LOT (further information will appear on the local information page).

External participants (not affiliated with LOT) have to book their own accommodation. Advice on lodging possibilities can be found on the local information page (under construction).

7. Dinner

On Thursday of each of the two weeks there is a dinner for 20 euros including 1 drink. Please note that registering is only possible beforehand (in the same form as your registration for the courses).

8. Payment

As soon as you register on the website, an e-mail will be sent with a link to the online payment system. After you have completed the payment procedure, you will receive a payment confirmation per e-mail. Please note that the amount must be paid within 10 days after your registration! Otherwise, your registration will be cancelled.

9. Travelling costs

RM-students LOT does not reimburse travelling costs for RM-students. Students are advised to get a 'groupsretour' from the NS website (if 4 students travel together, they pay 55 euros in total for a return ticket, i.e. 13,75 per person; every additional person costs 2,50. With 10 students it would be 70 euros. I.e. for 7 euros you can get wherever you want in the Netherlands and back again, as long as you travel together and book the group return beforehand.).

PhD-student or a Postdoc
If you are working as a PhD-student or a Postdoc at one of the LOT institutes* (not UGent and KULeuven), you can apply for reimbursement of your travelling costs with LOT. In order to do so, please fill in the expense sheet. Please make sure that you use only one currency. LOT will reimburse the travelling costs to the amount of five second-class return tickets per week, from the city where your institute is located (i.e. regardless of your residence) to the city where the LOT school is held, i.e. Utrecht. Please note that LOT does not reimburse the costs of local travelling within the city (bus, etc.).

If you only have E-tickets, you can add those to the form digitally. If you only have paper tickets, please scan them and add the scan to the form. Be sure to keep the original tickets until the amount has been transferred to your bank account.

*UiL OTS employees can put in a reimbursement request via the expense portal using their SOLIS ID (mentioning the WBS GW.000418.1.3).

10. Cancellation policy

If you need to cancel your registration (via lot@uu.nl), the following rules apply:

Cancellation of participation:

Participation can be cancelled up to 14 days before the first day of the school. If you cancel any later, and if you are a PhD student or RMA student at a LOT institute, you will get an invoice for the administration costs (25 euros). If you are a PhD student at an institute that is not affiliated with LOT, and you cancel after the cancellation deadline, we will refund half of the admission fee.

Cancellation of participation in LOT dinner:

LOT cannot refund the price of the dinner after the cancellation deadline (i.e. 14 days before the first day of the school). If you have already paid for your dinner but it turns out that you can’t make it, please find someone else who can enjoy your dinner instead of you, because the local institute has already reserved and paid for your attendance!

Cancellation of a LOT course:

If LOT is forced to cancel a course - e.g. due to a teacher's illness - LOT will offer the participants of the canceled course participation in another course in that week. When the participant does not accept this offer, LOT will not refund the participation fee. Instead, LOT will offer the participant several other courses that take place in the same week as the canceled course. Note that these courses may be focused on a different subdiscipline than the one that the participant has registered for.

11. Certificates and credits

See credit assignment for ECTS per course. Certificates will be sent to you via email within 8 weeks after the end of the school.
